This policy explains how Ohma Digital collects, uses, and protects personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
1. Who We Are
Ohma Digital is a web design and digital services business based in Northern Adelaide, South Australia.
2. What We Collect
We may collect:
- Contact details such as name, email, and phone number
- Business and project details you provide
- Technical data such as IP address, browser, and page activity
- Payment and invoicing details where relevant
When you use our online booking flow to answer a few questions and schedule a call, we collect more than a simple contact form would. This includes:
- Your answers to the qualifying questions, such as why you want a website, what you need it to do, which plan you leaned toward, and your timeframe
- Contact and business details entered into the booking form, such as name, email, phone number, business or website, industry, and business size
- The plan and source details carried in the page address, a randomly generated submission reference, your IP address (used to protect the form against abuse), and your timezone, from which an approximate location may be inferred
3. How We Collect Information
We collect information when you:
- Fill in forms on our website
- Answer the questions in our booking flow and schedule a call, including where you complete the questions but do not finish booking
- Book a call or contact us directly
- Use chat or similar communication features
- Browse our site (through cookies and analytics)
4. How We Use Information
We use personal information to:
- Respond to enquiries and provide services
- Prepare for and follow up on a booked call
- Manage projects, support, and billing
- Improve website performance and user experience
- Meet legal and regulatory requirements
Where you give us your phone number to book a call, we may contact you by phone or SMS about that booking, such as to confirm, reschedule, or follow up. You can ask us to stop contacting you this way at any time.
We do not sell personal information.
5. Automated Assessment of Enquiries
We may assess enquiries automatically, for example to gauge fit and priority based on details such as your industry, budget, timing, and location, so we can respond appropriately. This does not produce any legal or similarly significant effect, and a person always reviews your enquiry.
6. Disclosure of Information
We may share personal information with trusted service providers and advisers where needed to operate our business, deliver services, process payments, maintain security, or comply with law.
We only disclose information that is reasonably necessary for those purposes.
7. Cookies
We use Google Analytics 4 to understand traffic sources, page activity, and interactions with important links. We use Microsoft Clarity to understand how visitors navigate the site through tools such as session recordings and heatmaps. These services may use cookies and collect technical and interaction data.
You can control cookies through your browser settings. Some features may not work properly if cookies are disabled.
8. Overseas Disclosure
Some providers we use store or process personal information outside Australia, primarily in the United States. In running our booking flow, personal information may be disclosed to Cal.com, which provides our scheduling and booking form.
If we later connect a customer relationship management (CRM) or similar tool, your details may also be shared with that provider. We take reasonable steps to ensure appropriate privacy protections are in place.
9. Security and Retention
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access.
We keep personal information only for as long as reasonably required for business and legal purposes, such as responding to your enquiry, preparing for a call, and following up.
We retain enquiry records even where a booking is not completed, including where you answer the questions in our booking flow but do not finish scheduling a call. You can ask us to delete your details at any time using the contact options below.
10. Access, Correction, and Complaints
You can request access to, or correction of, personal information we hold about you by contacting hello@ohma.com.au.
If you have a privacy complaint, contact us first so we can investigate. If unresolved, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au.
